12:08:43 <gwolf> #topic roll call
12:08:51 <gwolf> Just because it's the usual first step ;-)
12:08:55 <gwolf> Gunnar Wolf
12:09:09 <terceiro> hi. I'm Antonio Terceiro
12:10:06 <gwolf> People from the bidding teams, can you raise your hand?
12:10:07 <indiebio> hi, Bernelle
12:10:35 <santiago> o/ hi, Santiago Ruano
12:11:40 <gwolf> santiago: do we expect more people from the Brest team to show up?
12:11:42 <terceiro> we seem to be very low on quorom
12:11:52 <gwolf> We are quite low, ys :-(
12:12:51 <santiago> gwolf, I am afraid I don't know
12:12:55 <gwolf> nattie said she'd be on the train to Seoul by this time... the rest of the committee confirmed they'd be available
12:13:06 <gwolf> I got no replies from either Brest or Tokio teams
12:14:11 <gwolf> (you _did_ all get my mail, right?)
12:14:52 <santiago> ah, sorry, forgot to reply. In my defence, there was no question in your mail :-P
12:15:04 <akashsanthosh[m]> Can I just raise my hands for Brest team. I don't know anything about Brest or the local though, just to represent
12:15:05 <indiebio> I did
12:15:16 <indiebio> * get the email
12:15:17 <gwolf> right, I didn't expect answers anyway ;-)
12:15:39 <gwolf> Anyway... should we continue with the Brest team only?
12:15:58 <gwolf> (it's not that we _need_ to have a showdown and competition! ;-) )
12:16:13 <gwolf> #topic Brest team overview
12:16:27 <gwolf> (or do you prefer to reschedule? I'd rather get this done today...)
12:18:06 <gwolf> santiago / akashsanthosh[m]: Can you tell us about your vision for DC25 in Brest?
12:19:11 <santiago> sure
12:21:09 <santiago> to start with the cons: there is still some uncertainty about the number of rooms that will be available in the venue we have proposed
12:21:45 <santiago> I think Brest is a very nice place to have a DebConf, but it would be great to have all the people in the same place
12:21:52 <gwolf> how very positive and reassuring from you ;-)
12:22:25 <santiago> I want to be clear and honest ;-)
12:22:28 <gwolf> So you mean we might have to spread over several accomodation venues?
12:22:53 <santiago> probably, that would be a solution/alternative
12:23:18 <terceiro> is that accomodation only? would the actual conf happen in a single location?
12:23:36 <santiago> I have had no time since last December to ping the people that could decide on accomodating all the attendees in the IMTA campus
12:24:34 <gwolf> But is it still _possible_ we can get a venue for all attendees to be together?
12:24:37 <santiago> I have also asked to people from another university if we could have an alternative to the IMTA, but no answer yet
12:25:07 <gwolf> (FWIW, it'd not be the first time we split accomodation. Yes, it's best if we don't, but sometimes it has to happen™)
12:25:29 <gwolf> How far are accomodation venues from the main (work) venue?
12:25:35 <terceiro> yeah dc17 was like this and was fine (and I stayed at far accomm)
12:26:18 <santiago> main hotels and accomodations are in the city center, ~30/40 mins from IMTA
12:28:26 <gwolf> FWIW, according to the bid, we will probably be able to use up to 100 rooms in IMT housing itself
12:28:33 <gwolf> Are they all single rooms?
12:28:34 <santiago> keep in mind that Montreal has a "better" public transportation system than a small city like Brest.
12:28:51 <santiago> 150 rooms
12:28:59 <santiago> single rooms
12:29:24 <gwolf> the Maisel's page linked from your bid mentions 400 rooms?
12:29:29 <gwolf> 484
12:29:32 <gwolf> https://www.imt-atlantique.fr/en/campus/practical/housing/housing-brest-campus-maisel
12:29:39 <santiago> indeed
12:29:46 <urbec> is ~30/40 mins by walk, car or public transportation?
12:30:57 <santiago> for legal reasons, maisel havs some limits in the rooms they can provide, to avoid competition with hotels in the area
12:31:20 <santiago> urbec, sorry, that is public transportation
12:31:25 <santiago> by car is 15 mins
12:31:33 <santiago> walking depends on your peace :-)
12:31:55 * gwolf is enlightened and peaceful. Does that make me go faster or slower? ;-)
12:32:02 <santiago> s/peace/pace
12:32:15 <santiago> haha
12:32:29 <santiago> slower
12:32:59 <gwolf> OK. But following your leads here, you started by describing what you believe to be the weakest point in the bid you are offering, right?
12:34:37 <santiago> yeap. other than that. The IMTA campus is a very nice place to have a Debconf: they have several rooms for talks, hackroom, the sea is next door (5 mins walk depending on how enlightened and peaceful you are)
12:34:47 <urbec> are there exceptions to those legal reasons possible?
12:35:14 <santiago> network connectivity is good. there are a lot of possibilities for activities and DayTrip
12:35:45 <santiago> urbec, maybe, and that is what I am trying to get an answer for
12:36:14 <gwolf> FWIW, I just checked quickly with terceiro and indiebio --- It does seem we will be selecting between a total of one option ;-) The Japan bid's wiki page has not been modified since before we chose Busan as a venue for DC24, and (I can only guess, but...) it's likely they basically dropped out
12:37:09 <gwolf> So I think there's not much to compete in; rather we must identify what we have to improve on the Brest bid, or what challenges we will have to face
12:37:18 <santiago> the problem is the main team fellow onsite is quite busy right now (preparing his PhD), and he is the main contact with the people who can decide if there are exceptions to the accommodation limitations
12:37:53 <terceiro> santiago: quite busy, up to when?
12:39:01 <gwolf> santiago: Yes, I was going to ask about... a _real_ local team. We can count you as a person-who-knows local stuff, but you are effectively about as local to Brest as I am...
12:39:45 <gwolf> You mentioned in the bid everal French people we have worked with, and who know important details about the inside of Debconf organizing, but...
12:39:46 <santiago> terceiro, mmm, I don't know what is precise deadline, but he must defend soon
12:40:23 <gwolf> how confident are you about having enough committed people dealing with all the things that need to be done locally/
12:40:31 <indiebio> what is his plans after that? will he stay close enough to the venue?
12:40:49 <gwolf> re:PhD: OK, great, so this person will most likely be PhD-free by DC25, but... yes, what indiebio said :-)
12:40:55 <santiago> rouca lives in Britanny, and spends time in Brest from time to time
12:41:36 <terceiro> sorry I need to leave now, ttyl
12:42:23 <santiago> ben, the PhD student, is commited to stay around once he is PhD-free, and he is also commited to invite current IMTA engineering students
12:43:05 <gwolf> terceiro: o/ !
12:43:16 <santiago> terceiro, cheers!
12:44:17 <gwolf> santiago: the bid does not mention rooms/auditorium sizes or the like, but I guess you have a good idea on them...?
12:45:30 <santiago> gwolf, yes, the bid is not very precise about that. But auditoriums shouldn't be a problem
12:45:46 <santiago> there are plenty of them...
12:47:07 <gwolf> santiago: I think we can start wrapping up, if nobody objects for the moment... After all, it seems Reality Has Spoken™
12:47:15 <gwolf> #topic wrapping up
12:47:55 <gwolf> I don't want to single-handedly(?) announce anything, but it seems we will not have to have a "losing bid" this time, which is great :-)
12:48:29 <gwolf> But I cannot proclaim Brest as winner by myself. I think we still have to discuss a bit in the committee...
12:48:59 <gwolf> ...And if selected, we have enough time to make the bid better in the points where it's weak
12:49:27 <gwolf> (and we _can_ accept a less-than-perfect bid in some aspects... there is ample precedent for that!)
12:50:12 <gwolf> ...Anything to add to this?
12:50:33 <gwolf> indiebio, santiago, urbec (the three present people who have spoken during the meeting) ?
12:50:53 <santiago> good!
12:51:15 <indiebio> nothing from me, thanks
12:51:25 <gwolf> OK, so lets call this a meeting!
